Job Summary
We are seeking an experienced Executive Assistant (EA) to support the CEO across a fast-paced, multi-brand U.S. recruitment group. This role requires exceptional organisation, initiative, and communication skills. You’ll manage the CEO’s diary, oversee general administrative functions, and handle LinkedIn messaging and outreach for business development — ensuring the CEO’s day and the group’s administrative tasks run seamlessly. This position demands someone who communicates clearly, doesn’t need to be told twice, operates with high standards, and thrives in a fast-paced international environment.

Job Description/Requirements
Location: Nairobi (Office-based – View Park Towers)
Working Hours: 4:30 PM – 1:00 AM EAT (08:30 AM – 5:00 PM EST)
Salary: KES 60,000 Gross per month (transport provided on the way back from the office)

Key Responsibilities
· Manage the CEO’s diary and daily schedule — coordinating meetings, calls, and appointments across multiple time zones.
· Handle confidential correspondence, email management, and timely follow-ups on behalf of the CEO.
· Support business development activities through LinkedIn — managing messaging, connections, and outreach campaigns.
· Maintain organised digital files, task lists, and records to support smooth operations across all group brands.
· Prepare reports, meeting notes, presentations, and summaries as required.
· Assist with administrative coordination between internal teams and external partners.
· Anticipate the CEO’s needs and proactively prepare for meetings, tasks, and upcoming priorities.
· Handle travel arrangements, bookings, and other logistical duties as needed.
Minimum Qualifications & Experience
· Minimum 2 years’ proven experience as an Executive Assistant, Personal Assistant, or Senior Virtual Assistant supporting senior management or C-level executives.
· Must have completed a recognised Executive Assistant Certificate or Virtual Assistant Professional Training Course.
· Excellent written and verbal communication skills — particularly for business correspondence, email, and LinkedIn messaging.
· Strong organisational and multitasking abilities, with a track record of managing complex schedules and competing priorities.
· Tech-savvy — proficient in tools such as Google Workspace, Microsoft Office, LinkedIn, and CRM or task management systems.
· Professional discretion when handling sensitive or confidential information.
· Strong attention to detail and ability to work independently without repeated instruction.
· Experience supporting U.S. or international teams preferred.
