We’re hiring an organized, proactive HR & Operations Executive Assistant to support the Field Director with admin, HR, and operational tasks. The role ensures smooth daily operations, team coordination, and support in recruitment, onboarding, and training.

Job Description/Requirements
Key Responsibilities1. Communication & Email Management• Manage, respond, and organize email communication on behalf of the Field Director.

Draft and send professional correspondence as needed.

Prioritize and escalate urgent matters while ensuring timely responses to staff, virtual assistants (VAs), and candidates.
2. Calendar & Meeting Coordination
-
Maintain the Field Director’s schedule, coordinating across Kenyan and U.S. time zones.

Organize meetings, interviews, and virtual sessions via Zoom.

Prepare agendas, reports, and presentations for meetings.

Manage travel, expense reports, and confidential documents.
3. Recruitment Support-
Coordinate end-to-end recruitment — sourcing, screening, scheduling, and candidate follow-ups.

Maintain recruitment pipelines and ensure accurate candidate documentation.

Support video introductions and candidate vetting for the U.S. team.

Assist with onboarding new virtual assistants and ensure setup of required accounts and tools.

Coordinate training sessions, track completion, and gather feedback.

Support performance tracking and identify areas for skill improvement.
5. Operational & Administrative Support-
Prepare reports, presentations, and records for operational tracking.

Coordinate meetings, events, and activities for virtual assistant engagement.

Handle introductory calls with prospective clients (eligible for performance bonuses).

Support the Field Director in HR and general office operations.
Qualifications-
Bachelor’s Degree or Diploma in Business Administration, HR, Psychology, Communication, or related fields.

2+ years of experience as an Executive Assistant, HR Officer, or Administrative Coordinator.

Strong written and verbal communication skills in English.

Proficiency in Google Workspace, Microsoft Office, Zoom, Slack, HubSpot, Trello, DocuSign, and CRM tools.

Excellent organizational and time management skills.

Ability to handle confidential information with discretion.

Flexibility to work across U.S. and Kenyan time zones.
Compensation & Benefits-
Monthly Salary: Ksh 64,000 (Gross)
