About the role: The incumbent is responsible for the smooth running of all operations, overall responsible on the procurement processes and employee management.
Key responsibilities include
Sales
• Responsible for the overall sales performance of the branches through crafting of sales strategies and motivating the sales team.
Operations
• Monitor and forecast upcoming levels of demand.
• You will ensure there is enough man power across all shifts by placing the adequate planned numbers of staff during all shifts
• Plan and coordinate global logistics as well as local logistics for timely delivery of products to the company
• Coordinate the various inhouse and external parties through the processes of stock taking and repairs at the shop where necessary.
• Responsible for the pass processes for both permanent and temporary passes for Crayson pharmacy and Laomai employees.
• Ensure all operations are carried on in an appropriate, cost-effective way
• Improve operational management systems, processes and best practices
• Purchase materials, plan inventory and oversee warehouse efficiency
• Help the organization’s processes remain legally compliant
• Formulate strategic and operational objectives
• Manage budgets and forecasts
• Perform quality controls and monitor production KPIs
Procurement and stock management
• Responsible for global and local purchases of stocks on a competitive price to create a competitive advantage for the organization.
• Review financial statements and data, utilize financial data to improve profitability, Prepare and control operational budgets, Control inventory, Plan effective strategies for the financial well-being of the company.
• Improve processes and policies in support of organizational goals; Formulate and implement departmental and organizational policies and procedures to maximize output, Monitor adherence to rules, regulations, and procedures.
• Negotiate best possible pricing to ensure that each of our branches is cost-effective
• To develop robust pharmaceuticals drug inventory management framework ensuring that the procurement, receipt, dispatch, stock control, security, supply, use of safety, and disposal of medicines are of the highest standard and are compliant with relevant policies, regulations, and legislation.
• Communicate any stock issues and proactively ensure appropriate alternatives are implemented to ensure no delays in availing drugs and other products following the requisitions.
• To ensure that stock levels of medicines are adequate to cover the budgeted requirements and that the stock is stored in accordance with the manufacturer’s recommendations.
• Ensure effective processes of expiry management and avoidance of any losses
• Enable cost saving by getting competitive prices for the products purchased by the procurement department
• Support director of operations to implement, respond to, manage, and supervise the procurement processes and inventory in all the pharmacy branches.
• Track and report key functional metrics to reduce expenses and improve effectiveness.
• Provide Specialist expertise for all aspects of medicine management including statutory roles as an accountable officer for controlled drugs among others.
• Manage the record-keeping to ensure procurement and inventory and inventory records are accurate up to date accessible, secure and confidential.
People management
• Coordinate, manage and monitor the workings of various departments in the organization.
• Plan the use of human resources, organize recruitment and placement of required staff, establish organizational structures, delegate tasks, and accountabilities, establish work schedules, supervise staff, monitor and evaluate performance.
• Liaise with top management, assist in the development of strategic plans for operational activity, implement and manage operational plans
• Responsible for the development of effective well-balanced work plans to enhance employee work life balance
• Recruit, train and supervise staff
Customer service
• Deploy or enhance customer engagement by running product campaigns in the various seasons in anticipation of clients’ satisfaction e.g. sales promotions on Xmas plans, Father’s Day plans
• Aim at increasing the quality of products and services
The Employee shall also be required to carry out any other suitable duties, which his supervisor may call upon him to perform from time to time.
Education & Experience
• A Higher Diploma or Degree in Procurement and Supply Chain Management from a recognized university
• Masters in Supply Chain Management is an added advantage
• Member of the Kenya Institute of Supplies Management with valid procurement license
• At least 5 years of proven experience as a procurement manager with 2 years in a managerial position in the medical industry is desirable
• Thorough understanding of supply and procurement techniques
• Self-motivated with a results-driven approach
