JOB SUMMARY
About the RoleWe are looking for a dynamic, proactive, and highly capable Personal Assistant to provide both administrative and personal support to our COO and CEO in a fast-growing, family-owned FMCG company.This position is ideal for someone who demonstrates drive, emotional intelligence, and initiative, and is eager to grow into an Executive Assistant and eventually Chief of Staff. The right candidate thrives in a fast-paced, high-frequency environment, communicates effectively across teams, and handles confidential matters with discretion.
RESPONSIBILITIES
Executive SupportManage and optimize the COO’s and CEO’s calendars and appointmentsBlock time for strategic thinking and ensure proper meeting buffersAccept, reschedule, or decline invitations professionally on behalf of the executivesCoordinate multi-time-zone meetings, logistics, and internal prioritiesTriage emails, flag urgent messages, and draft responses when appropriatePrepare agendas, pre-read documents, and summarize key pointsJoin meetings to take notes, track action points, and ensure follow-upAssist in creating presentations, briefing documents, and decksOperational and Administrative SupportMaintain dashboards, trackers, and lists of ongoing projectsFollow up with department heads on key deliverablesBook travel, accommodation, visas, and prepare itinerariesSchedule personal appointments, manage reminders, and assist with light family logisticsHandle confidential files, company documents, and brand assetsGrowth and LearningShadow the COO and CEO to learn workflows and executive stylesTake on increasing responsibilities over time, with a clear path to Executive Assistant and Chief of Staff rolesIdentify operational or communication gaps and proactively propose solutionsQualificationsBachelor’s degree in Business Administration, Economics, or related field3 to 4 years of experience in administrative or executive support rolesStrong organizational, communication, and interpersonal skillsHigh emotional intelligence and ability to work well with people at all levelsProactive, detail-oriented, and able to work independentlyComfortable using Microsoft Office (Word, Excel, PowerPoint), Outlook, and collaboration tools (Zoom, Teams, etc.)Tech-savvy, quick learner, and adaptable to fast-paced operationsWillingness to go beyond standard work hours when needed
