JOB PURPOSE
The Procurement Officer is responsible for planning, sourcing, purchasing, stock replenishment, supplier relationship management, and procurement governance for our retail outlets.
You will drive procurement efficiency, optimize inventory investment, negotiate cost-effective supplier agreements, manage supplier performance, and ensure compliance with company procurement policies and regulatory requirements.
The position contributes directly to profitability, inventory health, operational continuity, and customer satisfaction through effective supply chain management.

Key Responsibilities
Cost Management, Inventory Optimization & Value Creation
 Develop and implement procurement strategies that support business growth and profitability.
 Negotiate favourable pricing, payment terms, rebates, and supplier agreements to achieve cost savings.
 Monitor procurement expenditure and ensure purchases remain within approved budgets.
 Conduct regular market analysis and benchmarking to ensure competitive pricing.
 Support gross margin improvement through strategic sourcing and vendor negotiations.
 Optimize inventory investment by balancing stock availability against carrying costs.
 Monitor procurement spend and identify opportunities for cost reduction without compromising quality.
 Minimize emergency purchases through proactive planning and demand forecasting.
 Analyze procurement trends and provide recommendations to improve purchasing efficiency.
 Participate in annual budgeting and procurement planning processes.
Internal Customer Service & Product Availability
 Ensure timely procurement and replenishment of products and materials required by all business units.
 Support uninterrupted operations by maintaining adequate stock availability across all outlets.
 Establish strong working relationships with Retail Sales Managers, Shop Managers, Finance, and Operations teams.
 Respond promptly to procurement requests and operational requirements.
 Ensure procured products meet quality, safety, and regulatory requirements.
 Source innovative and market-relevant products that support revenue growth and customer demand.
 Work closely with management to source trending consumer products and continuous availability of fast-moving items
 Resolve supplier-related issues that may affect stock availability or business operations.
Procurement Operations, Inventory Management & Compliance
 Manage the end-to-end procurement process from requisition to supplier payment.
 Identify, evaluate, qualify, and onboard reliable suppliers.
 Maintain and continuously update the approved supplier database.
 Conduct supplier performance evaluations based on quality, pricing, delivery, service, and compliance.
 Prepare and manage Requests for Quotations (RFQs), supplier comparisons, purchase orders, and procurement documentation.
 Coordinate inventory replenishment planning based on sales trends, consumption patterns, and forecasted demand.
 Monitor fast-moving, slow-moving, and non-moving inventory and recommend appropriate actions.
 Monitor expiry-sensitive inventory and implement FEFO (First Expiry First Out) practices.
 Coordinate stock redistribution between locations where necessary to minimize stock losses and stock-outs.
 Conduct periodic inventory reviews and support stock audits.
 Ensure compliance with procurement policies, delegated authority limits, and internal controls.
 Maintain accurate procurement records and documentation for audit purposes.
 Monitor supplier compliance with contractual obligations and service standards.
Collaboration, Continuous Learning & Improvement
 Build productive working relationships with internal stakeholders and external suppliers.
 Collaborate with Finance, Operations, Retail Sales Managers, and Shop Managers to improve procurement planning.
 Support a culture of accountability, compliance, and continuous improvement.
 Maintain up-to-date knowledge of procurement, supply chain, inventory management, and retail sourcing best practices.
 Participate in professional development programs and procurement training initiatives.
 Contribute to the development and improvement of procurement policies and procedures.
 Share market intelligence and supplier insights with management to support strategic decision-making.
 Demonstrate the highest standards of integrity, transparency, and ethical conduct in all procurement activities.

QUALIFICATIONS & EXPERIENCE
Academic Qualifications
 Bachelor's Degree in Procurement & Supply Chain Management, Purchasing & Supplies Management, Logistics, Commerce, or a related field.
Professional Qualifications
 CPSP(K), CIPS, KISM membership, or equivalent professional certification is highly desirable.
Experience
 Minimum 3–5 years experience in procurement, supply chain, inventory management, or retail purchasing.
 Experience in retail, FMCG, health & wellness, hospitality, pharmacy, travel retail, or multi-site operations is highly desirable.
 Demonstrated experience in supplier management, sourcing, inventory planning, and procurement reporting.
