Job Summary

We are seeking a proactive and detail-oriented Administrative Assistant to provide comprehensive administrative support, ensuring the smooth and efficient operation of our office. The ideal candidate will be adept at managing multiple tasks, maintaining organized systems, and facilitating effective communication within the organization.

Job Description/Requirements

  • Responsibilities

    • Office Administration: Manage and maintain executives’ schedules, appointments, and travel arrangements. Prepare and edit correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials.
    • Communication Management: Answer and direct phone calls; take messages as necessary. Handle incoming and outgoing mail and packages. Coordinate the flow of information both internally and externally.
    • Documentation and Record Keeping: Maintain electronic and paper records ensuring information is organized and easily accessible. Assist in the preparation of regularly scheduled reports. Develop and maintain a filing system.
    • Office Management: Plan and coordinate meetings, conferences, and other events. Order and maintain office supplies inventory. Oversee the maintenance of office facilities and equipment.
    • General Support: Provide general support to visitors and staff. Act as the point of contact for internal and external clients. Liaise with executive and senior administrative assistants to handle requests and queries from senior managers. 
    • Supervision: Supervise and coordinate junior and subordinate staff  as required
