Job Summary

The Executive Secretary will provide high-level administrative support to the MD, ensuring efficient operations and confidentiality. The ideal candidate will be proactive, well-organized, and possess excellent communication and coordination skills to manage schedules, prepare reports, and serve as a liaison between the MD and stakeholders.

Job Description/Requirements

Job Title: Executive Assistant 

Department: Administration

Reports to: Managing Director


Key Responsibilities:

    • Manage and maintain MD schedule, appointments, and travel arrangements.

    • Prepare and edit correspondence, communications, presentations, and other documents.

    • Organize and coordinate meetings, conferences, and events.

    • Take and transcribe minutes of meetings accurately and in a timely manner.

    • Conduct research, collect, and analyze data to prepare reports and documents.

    • Monitor, screen, respond to, and distribute incoming communications.

    • Liaise with internal staff at all levels and external stakeholders.

    • Coordinate the flow of information both internally and externally.

    • Perform general clerical duties including filing, photocopying, and mailing.


Qualifications and Skills:

    • Bachelor’s degree or Diploma in Business Administration, Office Management, or a related field.

    • 2 – 3 years of experience in a similar executive support role.

    • Strong organizational and time management skills.

    • Excellent written and verbal communication skills.

    • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

    • Ability to work under pressure and handle multiple tasks efficiently.

    • Professional demeanor with the ability to maintain confidentiality.

    • Knowledge of office management systems and procedures.

    • Ability to anticipate needs and think critically.

    • Discretion and sound judgment in handling sensitive information.

    • High level of integrity and professionalism.
