Job Summary

As the Front Office / Administrative Officer, you will be the first point of contact. You will manage front desk operations, provide administrative support to various departments, and ensure the smooth running of daily office activities. This role requires excellent communication skills, attention to detail, and the ability to multitask.

Job Description/Requirements

Key Responsibilities:

  • Greet and assist visitors, clients, and vendors in a professional and friendly manner.
  • Answer and direct phone calls, emails, and other correspondence to the appropriate departments.
  • Manage office supplies and inventory, placing orders as needed.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Maintain a clean, organized, and welcoming front office and reception area.
  • Maintain filing systems and office records both digitally and physically.
  • Support HR, finance, and operations teams with administrative tasks such as document preparation, data entry, and reports.
  • Ensure the office complies with health, safety, and security standards.
  • Coordinate with building management and external service providers when necessary.
  • Handle incoming and outgoing mail and packages.


Qualifications & Skills:

  • Diploma or Bachelor’s Degree in Business Administration, Office Management, or a related field.
  • Minimum of 1–2 years’ experience in a similar front office or administrative role.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational and time management skills.
  • Friendly, approachable, and customer-service oriented.
  • Ability to work independently and handle confidential information with integrity.
  • Prior experience in a tech or business services environment is an added advantage.

Task:

You have just joined Plusx Solutions as the Front Office / Administrative Officer. The Operations Manager has asked you to:

  1. Draft a professional email responding to a client who is requesting to schedule a meeting with the Director for the following week.
  2. Create a simple inventory list of five essential office supplies and show how you would track stock levels and reorder thresholds (can be in a basic table format using Word or Excel).
