Effectively manage and ensure maintenance of group company’s and clients’ properties and related facilities to the satisfaction of tenants, management and shareholders.
Job descriptions & requirements
- Lease administration and renewal to ensure the tenant and landlord complies to the lease terms
- Repairs, maintenance and service requests management to ensure low down time and economy
- Monthly reports to summarize management activities of each property including occupancy position, vacant spaces, lease and lease renewals and the state of services maintenance
- Ensuring service provider contracts are up to date, advising in advance on due dates and ensuring timely renewal of contracts
- Supervision, motivation and discipline of property staff to ensure a highly motivated team that delivers high quality services
- Vacation of tenants to ensure smooth departure, arrears settlement and premises re-decorated to a habitable state
- Facilities management by focusing on hard and soft services, safety, energy cost savings and overall building systems management. This involves managing the facility operating and maintenance program, manage facility staff, manage other internal and external facility program, manage facility projects, conduct strategic planning activities for facility assets and resources.
- Visit and inspect all properties at least once a week and provide weekly property status reports and ensure that property representatives submit accurate and comprehensive reports
- Coordination of approved repairs and maintenance works, ensuring they are executed according to approved budgets and are completed to satisfaction.
- Enforce compliance of tenant exit procedures by ensuring exit inventories are carried out, repair and painting of the premises is done, arrears settlement and smooth departure of the tenant.
- Maintain customer satisfaction by ensuring that queries and complaints are promptly dealt with as and when they arise and by applying best practice customer relationship practices, lease conditions and guidelines.
- Ensuring that no illegal businesses operate within the properties
- Maintaining a departmental records filing system and keeping them updated
- Planning, budgeting and implementation of projects, definition of project scope, goals and deliverables and providing oversight and direction to third parties.
- Planning and implementation of projects, definition of project scope, goals and deliverables, definition of project tasks and resource requirements, provide oversight and direction to third parties including but not limited to architects, civil and structural engineers, mechanical and electrical engineers, quantity surveyors, landscape architects and environmental experts.
- Project initiation:- Preparation of consultant briefs, appointment of consultants, co-ordination of requirements, prepare construction programme and update as necessary, monitor consultants’ progress at design stage, review conceptual layouts, obtain detail pre-contract budgets to ensure best possible savings, ensure all tender documents are fully measured and priced for budget purposes, hold regular consultant meetings to ensure liaison on inter-related activities, advise on cost control and design developments, tendering and contract implementation, analyze tenders received in conjunction with other consultants and advise on selection of contractors/specialist suppliers, finalize construction and supply programmes with selected contractors and suppliers.
- Project execution and implementation:- Arrange site handover and access, ensure information from design team is available for supply, construction and fabrication purposes at the time required, liaise on all matters with the contractor and suppliers including programming, ordering and supply of materials, monitor construction and supply progress against agreed programme, amend construction and supply programmes for variations, changes and delays, recommend changes as necessary, review and process changes to the design, monitor site meetings, advise on contractual matters, monitor quality control of the works, monitor approvals for samples/shop drawings, monitor and co-ordinate practical completion and handover procedures, monitor making good of defects and provide regular status reports.
- Close out projects: - Obtain project as-built, perform project close-outs, create and complete punch lists, obtain occupation certificates, accept beneficial use, commission projects, review lessons learnt, issue final payment, variance reports.
- Opportunity studies, proposal and progress reports preparation and presentation, feasibility studies, general real estate consultancy, environmental zoning advice and impact analyses.
- Perform any other duties and responsibilities apart from the above but related to your designated work that may be assigned to you from time to time by the company.
