Job summary
The post holder will be responsible for contributing to effective financial administration of the project and the NGO in close cooperation with the Project Administrator and the Project Coordinator.
Job descriptions & requirements
- Elaborate the monthly accounting sheets of CELIM Kenya, the cash-bank declaration and organize and check the bank statements and all the invoices and supporting documents of all projects
- Check of the monthly accounting sheets, invoice and supporting documents of other technical project partners DEKUT, KCP,IWCA
- Preparation of tenders and other procurement procedures in line with CELIM internal procedures and the EU PRAG Manual under the supervision of the Project Administrator and Project Coordinator
- Preparations of contracts for human resources and service providers
- Process payment for local consultants, vendors, grantees, and subcontractors in accordance with accounting procedures and contract policies
- Responsible for all cash flows, including cash and cheques
- Managing relations with the bank (bank transfers, withdrawals, account statement requests)
- Organize and support office/ project logistics
- Create, maintain, and effectively manage project finance systems, including procedures, and forms, etc., and conduct regular reviews of finance processes to identify opportunities for improvements
- Organize and manage the filing system of the project working documents and reports
- Assist internal and external audit queries and investigations. Implement audit recommendations on budget preparation and evaluation as well as financial monitoring and reporting.
- Contributes to the work of preparing internal financial reports and donor reports in a variety of formats, and regular financial routines including month-end and year-end closing and reconciliation
- Support the Project Administrator and Project Coordinator on the financial administration, including the maintenance of internal processes for monitoring spending, evaluating costs against approved budgets, collating and controlling required supporting documentation
- Support the Project Coordinator on oversee and track all project annual budgets and revise expected expenditures on an as needed basis
- Other duties as assigned by the Project Coordinator
- This position is open to Kenyan nationals only.
- At least CPA Intermediate level 1
- Bachelor's degree in relevant field required; advanced degree preferred
- Minimum of two (2) years of accounting/ financial management experience
- Strong interpersonal skills and ability to work with culturally diverse staff
- Previous experience with AICS/EU donor, bookkeeping rules and requirements is an asset
- Knowledge of Kenya operating environment, including registration, taxes, and labour law
- Demonstrated leadership, versatility, and integrity
- Fluency in written and oral English is required
