We are urgently looking for a Customer Service - Freight Forwarding whose role will be focusing on coordinating and supporting the movement of cargo while ensuring smooth communication between clients, carriers, and internal teams. RESPONSIBILITIES
Shipping Line Coordination DutiesTrack shipments and liaise with shipping lines for earlier connections and updates.Request shipping line invoices and verify accuracy before processing.Present invoices for payment approval and follow up on payment status.Follow up on pending, delayed, or missing invoices and credit notes.Dispute incorrect invoices and track resolution.Manage account reconciliations with various shipping lines.Assist customers with any shipping line–related issues or documentation needs.Support overseas and local agents with shipping line processes and queries.Prepare and share relevant shipping line performance and operations reports.Other responsibilities include:A. Agent AllocationNominate load port agents based on customer confirmation regarding shipments.Ensure timely communication with overseas agents for smooth coordination.B. Job Creation & DocumentationCreate jobs in the system as per shipment requirements.Follow up with agents for draft documents.Share draft House Bills of Lading (HBL) with customers for review and approval.Manage draft confirmation and ensure accuracy before finalization.C. Pre-AlertsFollow up with agents to obtain all shipment documents (MBL, HBL, Delivery Notes) once the vessel sails.Ensure timely circulation of pre-alerts to customers and internal teams.D. Letter of Indemnity (LOI) ManagementPrepare LOI formats as per shipping line requirements.Send LOI templates to customers for printing on company letterhead.Share completed LOIs with shipping lines for Through Bill of Lading (TBL) conversions.
