JOB SUMMARY
Shift Schedule: Tuesday-Friday 4 pm- 2am The next day & Saturday 5.30pm -12.30 am(Two days off on Sunday and MondayWork Place policy: On siteWe are seeking a warm, organized, and client-focused Spa Receptionist / Scheduler / Administrative Assistant to be the welcoming face of our spa and an essential part of our team. This multifaceted role ensures a seamless and positive experience for every guest while supporting the smooth operation of the business behind the scenes.
RESPONSIBILITIES
Key Responsibilities - 📅 Manage and coordinate the spa schedule, appointments, and staff-client communications - 📞 Answer phones, respond to emails, and handle service inquiries with professionalism and care - 📝 Send and track digital waivers and client documentation - 🤝 Ensure daily coordination between staff and clients to maintain an exceptional guest experience - 📦 Order and maintain inventory of products and supplies - 📲 Assist with social media content creation and postings to promote spa services - 🗂 Provide light personal administrative support to the spa ownerSkills and qualifications - Minimum of 6 months of experience in customer service, administration, or hospitality (spa/wellness experience a plus) - Strong organizational skills and ability to multitask in a fast-paced environment - Excellent communication skills, both verbal and written - English fluency is required- Proactive, reliable, and service-oriented mindset - Comfortable with digital tools (scheduling software, email, social media platforms) - Experience and proficiency in PatientNow and RecuraAI systems for scheduling, client management, and operational support
