DUTIES AND RESPONSIBILITIES

Recruitment & Selection

·       Coordinate recruitment activities, including advertising vacancies, shortlisting candidates, scheduling interviews, and communicating with applicants.

·       Prepare recruitment documentation and support the onboarding of successful candidates.

·       Maintain accurate and up-to-date recruitment records.

Employee Onboarding & Administration

·       Coordinate employee onboarding and ensure all required documentation is completed.

·       Maintain accurate and confidential employee personnel files and HR records.

·       Prepare employment-related documents, letters, contracts, and other HR correspondence.

·       Update employee information and maintain appropriate HR databases and registers.

Payroll & Benefits Administration

·       Prepare and submit accurate monthly payroll inputs, including new employees, exits, salary changes, allowances, deductions, leave, and other relevant adjustments.

·       Coordinate with payroll/accounting teams to resolve payroll-related issues.

·       Maintain confidentiality of employee salary and benefits information.

Leave & Attendance Management

·       Manage and maintain employee leave records.

·       Monitor attendance, absenteeism, lateness, and other employee time-related matters.

·       Ensure leave applications and approvals are properly documented.

Employee Relations

·       Support management in addressing employee queries and routine HR matters.

·       Assist in handling employee grievances, disciplinary processes, and workplace concerns in accordance with company policies and applicable employment law.

·       Promote positive employee relations and a professional workplace environment.

HR Compliance

·       Support compliance with Kenyan employment laws, statutory requirements, and company HR policies.

·       Maintain proper employment documentation and records required for compliance purposes.

·       Keep abreast of relevant changes in Kenyan employment legislation and advise management where necessary.

·       Support preparation for internal and external HR audits or inspections.

HR Policies & Procedures

·       Assist in implementing and maintaining HR policies, procedures, and employee guidelines.

·       Support management in ensuring consistent application of HR policies across the organization.

·       Assist with HR reporting and preparation of relevant management reports.

Performance Management & Training

·       Support performance appraisal and employee performance management processes.

·       Assist in identifying training and development needs.

·       Coordinate staff training, workshops, and other employee development activities where required.

KEY REQUIREMENT SKILLS AND QUALIFICATION

·       Degree in Human Resource Management, Business Administration, or a related field.

·       CHRP-K certification or ongoing progress toward certification is an added advantage

·       Previous experience in an HR Officer, HR Assistant, or similar HR role is preferred

·       Good working knowledge of Kenyan employment laws and regulations

·       Proficiency in Microsoft Office, particularly Word and Excel

·       Experience with HR/payroll systems will be an added advantage
