Job Summary
To support the effective management and delivery of Human Resource functions at Victoria Homestore by implementing HR policies, coordinating employee-related processes, supporting employee engagement and development and ensuring compliance with company policies and applicable employment legislation.

The Human Resource Officer will serve as a key link between employees and management, providing timely HR support while contributing to a positive, productive and employee-centric workplace aligned with the company's EPIC values.

Key Responsibilities
(i) Performance Management Systems
(i) Maintain and update the organizational work structure, job descriptions, job specifications and requirements for all positions.
(ii) Coordinate the implementation and monitoring of the company's performance management system.
(iii)Support managers and employees in setting clear performance objectives, KPIs and targets.
(iv)Coordinate performance appraisal processes and ensure timely completion of performance reviews.
(v) Monitor performance management records and follow up on outstanding appraisals and performance improvement plans.
(vi)Support managers in employee coaching, performance improvement and disciplinary processes.
(vii) Provide guidance to managers on performance management procedures and documentation.
(viii)Analyze performance management data and prepare relevant reports for management decision-making.

(ii) Recruitment and Selection
(i) Coordinate the recruitment and selection process from requisition to onboarding.
(ii) Prepare and post job advertisements through approved recruitment channels.
(iii)Shortlist candidates against approved job specifications and selection criteria.
(iv)Coordinate candidate communication and schedule interviews and assessments.
(v) Participate in interviews and provide HR input during the selection process.
(vi)Conduct reference and background checks where applicable.
(vii) Prepare and issue employment contracts, offer letters, and other pre-employment documentation.
(viii)Maintain accurate and up-to-date recruitment records and recruitment trackers.
(ix) Coordinate pre-employment requirements and ensure all necessary documentation is completed.
(x) Conduct and coordinate orientation and onboarding programmes for newly hired employees.

(iii) Training and Development
(i) Coordinate training sessions, workshops, seminars and employee development programmes.
(ii) Support the identification and documentation of employee training needs.
(iii) Maintain the annual training calendar and training tracker.
(iv) Coordinate logistics for internal and external training programmes.
(v) Maintain accurate training records and evaluate training participation and effectiveness.
(vi) Support implementation of employee development and career growth initiatives.
(vii) Follow up on training commitments and ensure compliance with applicable training policies.

(iv) Compensation and benefits
(i) Ensure accurate and timely completion of compensation and benefits documentation.
(ii) Assist in payroll preparation by providing accurate information relating to attendance, leave, overtime, bonuses, allowances, deductions, new hires, exits and other payroll adjustments.
(iii)Review payroll inputs and identify discrepancies for correction before payroll processing.
(iv)Maintain accurate employee compensation and benefits records.
(v) Respond to employee queries relating to HR benefits and compensation in accordance with company policies.

(v)Employee & Labour Relations
(i) Provide HR support and guidance to employees and managers on HR policies, procedures, rules, and regulations.
(ii) Receive, document and appropriately address employee complaints, concerns and grievances.
(iii)Coordinate grievance-handling processes and ensure matters are escalated appropriately.
(iv)Support disciplinary processes in accordance with company policies and applicable employment legislation.
(v) Prepare and maintain documentation relating to disciplinary and employee relations cases.
(vi)Promote positive employee relations and a healthy workplace culture.
(vii) Maintain confidentiality and professionalism when handling sensitive employee matters.
(viii)Keep abreast of relevant HR trends, employment practices and changes in Labour legislation.
(ix) Support employee engagement, welfare and workplace culture initiatives.

(vi) Human Resource Administration
(i) Maintain accurate and up-to-date employee personnel files and HR records.
(ii) Ensure all required employee documentation is properly collected, filed, and maintained.
(iii)Conduct periodic audits of HR files and records to identify missing or outdated documentation.
(iv)Maintain HR databases, trackers and employee information systems.
(v) Support leave, attendance, probation, contract renewal and employee movement administration.
(vi)Prepare HR reports and dashboards as required by management.
(vii) Ensure HR records are handled confidentially and in accordance with applicable data protection requirements.
(v) HR Projects and Employee Engagement
(i) Coordinate HR projects including employee surveys, engagement initiatives, training programmes, HR audits and culture-building activities.
(ii) Support implementation of employee satisfaction and engagement initiatives aligned with Victoria Homestore's EPIC values.
(iii)Coordinate HR meetings and other employee-related activities.
(iv)Take minutes during HR meetings and follow up on agreed action points.
(v) Support continuous improvement of HR policies, procedures, systems, and processes.
Participate in HR initiatives aimed at improving employee experience and organizational effectiveness.

(viii)General HR Support
(i) Support the day-to-day operations of the Human Resources function.
(ii) Respond promptly to internal and external HR-related inquiries and requests.
(iii)Maintain calendars and HR activity schedules.
(iv)Prepare and submit periodic HR reports and management updates.
(v) Coordinate HR correspondence and documentation.
(vi)Support internal and external HR audits and provide required documentation.

Perform any other duties as may reasonably be assigned by the Human Resource Manager.

- Quality and responsiveness of HR support provided to employees and managers.

Qualifications and Experience
- Bachelor's degree in Human Resource Management, Business Administration, or a related field.
- Professional qualification in Human Resource Management such as CHRP or equivalent is an added advantage.
- Minimum of 2–3 years' experience in a Human Resources role, preferably within a retail, FMCG, or fast-paced business environment.
- Working knowledge of Kenyan employment laws and HR best practices.
- Experience in recruitment, employee relations, performance management, payroll support, training and HR administration.
- Experience working with HRIS, payroll, attendance, or other HR-related systems is an added advantage.
