Administrative Assistant – Document Processing


Reports To: Executive Support Specialist

Location: Remote - Kenya

Employment Type: Contract, 40 hours per week

Rate: KSH 392.38 per hour during the initial six-month probationary contract. Upon successful completion of the probationary period, individuals who are offered a subsequent assignment will be eligible for a rate of KSH 450.66 per hour.

 

Position Overview


The Administrative Assistant – Document Processing provides administrative and document processing support for Carolina’s Home Medical Equipment (CHMEI) by completing established, recurring workflows accurately and efficiently. This position is responsible for preparing, sending, downloading, uploading, and organizing documentation across systems including Brightree and DocuSign, as well as supporting other routine administrative processing activities.


A key focus of this role is accurate information management and maintenance of client documentation and data. The position works within established procedures and schedules to ensure documentation is processed timely and accurately in support of CHMEI's daily operations and upcoming patient deliveries.

Success in this position requires strong computer proficiency and the ability to navigate efficiently between multiple systems, applications, and browser tabs. You should be comfortable following clearly defined procedures, managing time-sensitive tasks, and completing assigned workflows independently and consistently.


Key Responsibilities

  • ·         Process and format work orders into electronic format through the designated mobile delivery platform
  • ·         Download delivery tickets and other required documentation from Brightree
  • ·         Prepare and upload documents into DocuSign for patient signature
  • ·         Send documents to patients for electronic signature according to established procedures
  • ·         Upload completed documentation into Brightree
  • ·         Review and process items on the Unfiled Worklist
  • ·         Review the Electronic Fax Outbound Unsuccessful report and resend unsuccessful faxes
  • ·         Perform adjustments associated with executed refund checks
  • ·         Complete document-processing workflows according to established schedules and operational deadlines
  • ·         Maintain accurate and organized electronic documentation and client information
  • ·         Complete other administrative and document-processing tasks as assigned

Qualifications


  • ·         Previous administrative, clerical, document-processing, or data-entry experience preferred
  • ·         At least one year of experience in HME, healthcare customer service, or a related environment preferred
  • ·         Experience working with electronic document-management systems preferred
  • ·         Experience with Brightree and/or DocuSign is an advantage but not required

About Us


This position provides dedicated support to Carolina’s Home Medical Equipment (CHMEI) and will work day-to-day with the CHMEI team and leadership. CHMEI will provide training on the established workflows and processes associated with the position.


Hiring, onboarding, contractor administration, and workforce support for this position are provided in partnership with Medbill. The selected individual will therefore be contracted through Medbill while performing their day-to-day responsibilities in support of CHMEI.
